Planning recurring business travel

For recurring travel, describe the usual routes, frequency, passenger count and who will arrange each trip. Include receipt or purchase-order requirements so the available arrangements can be discussed before booking.

For several vehicles or stops, provide a single itinerary with the address and time for each journey. Name one contact who can confirm changes, and identify any fixed arrival deadline separately from the preferred pickup time.

If travel is close, use the phone number in the site header to check availability. Do not rely on an unanswered enquiry as a confirmed reservation. For a priced hourly comparison, see starting rates. For terminal rules, start with the airport pages.

Choose the right information for your message

An enquiry about a new trip

Use the form to describe one complete journey: date, pickup address, destination, preferred pickup time and any fixed arrival deadline. For an airport arrival, include the airline and flight number. If several people travel together, give both passenger and bag counts rather than only a vehicle preference. Describe equipment, child-seat requests or access needs so the team can discuss what can be confirmed. For a meeting day, put the stops in order and identify who can approve changes. You do not need to include unrelated identity documents or payment-card details in a general enquiry. The reservation process is where the available vehicle and complete quote should be reviewed.

A question about an existing reservation

Use the contact details on your confirmation and provide the reservation reference, passenger name and travel date so the trip can be identified. State the specific change: a new flight, revised pickup entrance, different passenger contact or additional stop. Keep the original itinerary available and ask for written confirmation of the revision and any change to the price. If the pickup is approaching, call rather than relying on an unread form message. A submitted enquiry is not a confirmed booking. For a colleague arranging travel, say whether the passenger or the organizer should receive the response, and ensure the traveler has the final meeting instructions before leaving for the pickup.
