Keep flight timing separate from meeting the vehicle
The arrival time on a flight itinerary is not the time a passenger will be at the pickup point. Include the airline, flight number and arrival date, then confirm the meeting instructions for the reservation. Account for retrieving bags and reaching the designated location. If the terminal changes, send the revised information rather than using an old meeting plan. JFK and LaGuardia publish official airport pickup guidance; check the current instructions alongside your confirmation. Avoid choosing a curb or garage based only on a previous trip, because the arrangements can change.
Build departure and connection requests around the flights
For a departure from Manhattan or Brooklyn, provide the airline’s required terminal arrival time separately from your preferred pickup time. Include any intervening hotel stop to collect luggage. For an airport-to-airport connection, identify both airports, both flights and the dates, especially when a flight crosses midnight. Tell the team whether you must retrieve and recheck bags. Ask for an itinerary assessment before treating the connection as feasible; no road transfer can guarantee an airline cutoff. For private aviation, provide the FBO name and the flight contact so the request identifies an actual passenger meeting location.
